The following chart gives you a checklist by role for game situations. 
It is structured as follows:


Before the game: is about the preparation needed a day or two before the game and up
  to the final minute before the puck drops.
   
During the game: is about what needs to be done from the moment the puck drops to
  the point when the final buzzer sounds, indicating that the game is
  over.
   
After the game: is about the wrapping-up of a game from the moment the players
  skate off the ice until the preparation for the next event.

Agent

Before the game:
“Get there!”

  • Identify and verify games’ schedule to go watch
  • Arrange travel requirements to games
  • Meet with parents, players and other contacts
  • Tournament note:          
    • identify game times
    • identify teams with potential clients
During the game:
“Prospect”
  • Observe the players and make notes with PowerPen
  • Get acquainted with potential clients’ parents during periods
  • Schedule future meetings with client and client’s parents
After the game:
“Take inventory”
  • Make a list of potential clients
  • Acknowledge current clients and contacts and build relationship with contacts and future client      
  • Meet with coaches for insight - ask questions and make observations
  • Travel to next destination

Coach

Before the game:
“Cross your T’s!”   Get your Tools – Turn yourself on – Talk to your Team”

  • Tools
    • On-ice tools:  pucks, sweaters, whiteboard, marker, chalk
    • Tool kit:  screwdrivers, helmet screws, saw, tape, laces, candle wax
    • First aid kit:  tape, band-aids, surgical gloves, gauze, peroxide, scissors, etc.
    • Coach tools: PowerPen, notepad, coaching card
    • Documents: game sheet (if applicable), team roster, team telephone numbers, blank game stats sheet, team stretch sheet
  • Write your goals and purpose for the game with PowerPen
  • Write your pre-game speech
  • Write down roles and your expectations for everyone
  • Decide who will help you – other coaches, parents, trainer
  • Make sure that there is support or help in the room for young players while they dress
  • Make sure that everyone has his own water, fill The Water SOURCE
Tournament note:get the rules and read them with your staff
  • Turn yourself on
    • Eat at least 2 hours before game time
    • Arrive at the rink before the players do
    • Breathe fully and deeply through your nose and exhale through your mouth
    • Smile! – a great time to do this is while you are on your way to the arena
    • Ask yourself, “What is it that I can do to make this a great experience for my players?”
  • Talk to your team and officials
    • Speak to your manager – address any items needing your attention
    • Discuss goals for the game with your coaching staff
    • Remind players to drink water while dressing
    • Speak to the entire team:
      • deliver your pre-game speech
      • tell your player what your expectations are for the game
      • give starting line-ups
    • Acknowledge the officials (without them there is no game)

  • Tournament note:
      • share the rules with your staff and players
      • meet the Tournament staff and coordinator

  • Exhibition / Pre-season note:
      • prepare evaluation sheets
      • assign evaluators
      • explain rating system

During the game:
“Hear no evil, speak no evil”

  • Listen to coaching staff for feedback.
    • Ask for feedback about player effectiveness
    • Ask about their views on team play
  • Observe the play and write notes with PowerPen on strengths and weaknesses
  • Speak - don’t yell - to the players and the officials
  • Encourage - acknowledge distractions, talk to players about fair play
  • Make sure everyone is drinking water
  • Between periods, look at statistics for progress
  • Between periods, make your speech:
    • go over game notes
    • reinforce goals and objectives
    • share observations about previous period
  • Make eye contact to officials during key times
After the game:
“Accentuate the positive”
  • Speak to the players and coaching staff
    • Highlight achievements
    • Identify areas for improvement
    • Provide positive feedback
    • Reinforce water consumption
    • Remind players about respecting the property
    • Remind players to take care of their equipment
    • Remind everyone of the next team event
  • Give thanks to those who helped (stat takers, coaches, managers)
  • Get the game sheet and the statistics
  • Go over the game’s outcome with coaching staff and manager
    • Measure stats against game objectives
    • Assess outcome versus expectations
    • Listen for feedback
  • Write highlights of game in the game report with PowerPen
  • Write your personal thoughts about the game in your coach’s journal
  • Collect all equipment and tools
  • Leave with a smile

Manager / Administrator

  • Call players to remind them of game schedule changes (if applicable)
  • Take money out of the team bank account for petty cash
  • Pack documents: player registration cards, team rosters, etc.
  • Arrive at rink prior to players
  • Verify that officials are available for the game
  • Check that coaches are authorized to coach (i.e. they have their proper coach’s cards) - this applies at the beginning of the season, when a coach is new or for exhibition games
  • Make sure that first aid is available – a trainer and first aid equipment
  • Fill out the game sheet, if applicable with the PowerPen
  • Be available to assist with any player or equipment issues that might arise
  • Have room keys ready to lock rooms after players leave to go on the ice
  • Meet parents for questions or fact finding issues you or they have
  • Tournament note: 
    • meet with the coordinators to register team
    • get the rules
    • assure payments have been made

During the game:
“Be visible”
  • Open dressing rooms in between periods or when necessary
  • Be visible to the coaching staff
  • Be available in case of injury
  • Be aware of the location for first aid
  • Meet with parents, scouts and others involved with your team if necessary
  • Tournament note
    • ask about events and features for team and parents

After the game:
“Wrap it up”
  • Collect the team copy of the game sheet and review for extreme penalties
  • Write up a game report with PowerPen
  • Meet coaches, discuss the game report and get appropriate signatures
  • Meet parents and discuss outstanding issues, financial, forms, etc.
  • Communicate upcoming events as reminders to families
  • Meet with family, coaches and trainer in the case of a player injury
  • Meet with the coaching staff and family in case of player suspensions
  • Collect personal equipment
  • Fax game sheet to the league
  • Remind coaches and players of the next event
  • Provide scouts information if required
  • Make sure all player equipment has been removed from the room
  • Assure room key is returned to appropriate arena staff
  • Leave the arena with a smile
  • Deposit any monies into the team bank account

Official
Before the game:
“Expect the unexpected”

  • Arrive on time
  • Become aware of environment:
    • know where first aid support is located
    • know where arena attendant is
    • look for abnormalities of rink surface
  • Meet with supervisor (if present)
  • Meet with other officials and discuss personalities, roles and duties
  • Stretch / warm-up
  • Get dressed, carry notepad and PowerPen
  • Lock changing room and give key to timekeeper
  • Introduce yourself to the timekeeper, goal judge, etc.
  • Acknowledge both teams, meet coaches, players and captains (if applicable)
  • Verify score sheet for same amount of players on-ice as listed, check for signatures
  • Gather a bunch of pucks

During the game:
“Keep the players safe and game fair”
  • Make calls clean and sharp

Parent
Before the game:
“Eliminate the hockey devils”
  • Make sure that there is gas in the car or arrange for a lift
  • Make sure that there is cash for sharpenings, tape, drinks, entrant fees, etc.
  • Have son/daughter follow nutrition regimen (3 to 4 hours before game time)
  • Verify schedule times
  • If your son/daughter is young, double check for skates, jock, helmet, etc.
  •  Be ready for your son/ daughter – don’t make your child wait and be late
  • If your son/daughter is older, ask if they need skates sharpened (adds time)
  • Bring warm jacket, sweater, hat, mitts (rinks are not a warm place)
  • Drive other players if necessary and leave on time
  • Let your son/daughter carry their own bag, offer to carry the stick
  • Meet with manager to discuss outstanding issues
  • Socialize with others
  • Offer to help out with stats for coach
During the game:
“Watch as if it was your best friend’s child”
  • Watch with enjoyment and pride
  • Keep any comments positive
  • Acknowledge other parents
  • In between periods, meet with the manager if needed
  • Take stats to help out the coach if you are asked
After the game:
“Share their fun”
  • Meet with manager to discuss any outstanding issues (funds, equipment, scheduling, etc.)
  • Socialize with other parents
  • Meet your son/daughter with a smile
  • Ask questions to make your child feel good about himself:
    • “Did you have fun?”
    • “How do you think you did?”
    • “What did you learn today
  • Let your son or daughter carry their own bag
  • Drive home
  • Explain the importance of hygiene - remind your child to:
    • Shower
    • Wash undergarments
    • Air out equipment

  • Do team warm-up:
    • PLAYERS - make sure to stickhandle, pass and shoot "on the goalie" if time permits
    • GOALIES - make sure to skate and stretch with equipment on the ice, take shots to feel the puck
  • TEAM CAPTAINS - acknowledge officials - shake hands
  • Be supportive to teammates and encourage each other
  • Smile! - it is a game

Ages 9 to 12

  • Check equipment at home for sharpenings, tape, repair - at least the day before
  • Advise parent(s) of equipment needs a day before
  • Pack equipment using Equipment Checklist
  • Eat 3 to 4 hours before game time
  • Dress according to team rules - if none, shirt and tie or turtleneck, team jacket - no baseball caps
  • Be ready to go with bag at front door for whoever is driving
  • Socialize with other players and friends
  • Drink water
  • Have your own water for the game - fill The Water SOURCE
  •  Dress for stretch
  • Do team stretch
  • Dress with equipment
  • Remove all jewelry
  • Sit dressed and think to yourself – go through your mental preparation
  • Listen to game strategy from coaches
  • Go on the ice together with teammates
  • Bring a second stick to bench
  • Do team warm-up:
    • PLAYERS - make sure to stickhandle, pass and shoot “on the goalie” if time permits
    • GOALIES - make sure to skate and stretch with equipment on-ice, take shots to feel the puck
  • TEAM CAPTAINS - acknowledge officials - shake hand
  • Be supportive to teammates and encourage each other

  • Observe goalie movement and ability to recover for 2nd shot
  • Observe goalie stickhandling skills
  • Look for defensemen who can make 1st pass out of zone, defend 1 on 1s
  • Look for forwards who have patience with the puck and position themselves well
  •  Make notes on special team play
  • Observe the game from different spots in the rink
  • Tournament note:
    • watch team on different ice surfaces throughout Tournament

After the game:
“Do your homework”
  • Meet team coaches and probe for insights about players
  • Meet prospect players, get their interests, desires and intentions
  • Provide feedback if asked by players
  • Meet parents and others watching a specific player
  • Leave and take time to write overall game notes with PowerPen
  • Communicate with own team management on prospects and share observations

Trainer

Before the game:
 “Offer preventive medicine”

  • Verify trainer’s kit
  • Pack player Medical Forms, trainer’s card
  • Arrive on time or early
  • Check out dressing room, ice surface, boards, benches and gates to ensure that all are within acceptable safety parameters
  • Meet with players and parents for injury status
  • Meet with coaches on injury status of players
  • Monitor and encourage proper consumption of water by players
  • Monitor and direct proper warm-up and stretches by players
  • Prepare The Water SOURCE for players
  • Check to see if the opposing team has a trainer
  • Designate an “off-ice” assistant who will be responsible for calling Emergency Services upon your pre-arranged signal
  • Attend to any pre-game equipment and injury needs of players
  • Bring all necessary first-aid equipment to team bench
  • Make sure pucks are available for warm-up
  • Tournament note:
    • register with coordinators
    • meet with Tournament first-aid
    • understand procedures
  • Exhibition / Pre-season note:
    • have an assistant available depending on number of players involved in training camp

During the game:
“Be on call”
  • Be on the bench with full trainer’s kit as well as “on-ice” kit
  • Assist in any way requested by the Head Coach
  • Attend to any injuries experienced by players
  • Be prepared to make decisions on the ability of players to continue playing if injured
  • Ensure proper consumption of water by the players during play
  • Do not get involved with the strategies and tactics of the game
After the game:
“Help rejuvenate”
  • Attend to any injuries
  • Ensure proper fluid and nutrition intake by players
  • Ensure proper stretching and cool down processes by players
  • Ensure the Player Injury Report is completed related to any injury and given to the family for physician follow-up and documentation
  • Discuss any injuries or other matters of concern with the Head Coach and manager
  • Discuss any “next steps” related to any player injuries
  • Be aware of the next event for team
  • Be part of the discussion concerning the Game Report completion
  • Tournament note:
